01what we store

Your account (name, e-mail, phone, photo), your messages, the groups you are in, your training-session schedule and attendance, the WESTCA events you RSVP to, your notification preferences and the devices you use to sign in. If you allow it, the app also keeps the token that lets us send push notifications to your phone.

Your phone number is used to match the RSVPs you send through the WESTCA website to your account.

Location (WESTCA team only). When a team member clocks in or out, the app checks their location once, at that moment, to confirm they are at the studio. We keep only the distance from the studio and how precise the reading was, never the coordinates, and the app never tracks location in the background.

Calendar. The calendar in the app shows your WESTCA training sessions (and shifts, for the team). The subscription link we give you contains a private key; anyone with the link can see the sessions in it, so you can replace it at any time. If you connected a personal calendar address before October 24, 2026, it stays encrypted and is no longer read; you can remove it at any time.

Progress photos and check-ins. If you log a progress check-in, we keep the photos (front, side, back), the weight, measurements and note you add. Only you and your WESTCA trainers can see them: they never appear on your profile or to other clients. They are stored privately, not in the public media folder, and open only through links that expire after a few minutes. WESTCA admins use them only to prepare the progress report you ask for. A workout check-in (an optional photo of the day's workout) is visible to you, your trainers and the clients in your training group. You can delete any check-in at any time, and deleting your account deletes all of them, including your progress reports.

Body stats and attendance. If you are a WESTCA client, your profile shows the body stats you choose to log (weight, body fat, muscle mass, measurements) and the sessions you attended, read from WESTCA's client records. Only you, your trainers and the WESTCA team see them.

How long we keep messages. Messages in direct conversations, group chats and topics are kept for 90 days. After that they are deleted automatically, together with their photos and voice messages.

02what it is used for

To run the app: show your content to the right people, deliver messages and reminders, keep your sessions up to date and keep everyone safe. We do not sell your data and we do not show ads.

To show you the client parts of the app, we check your account e-mail (or the e-mail you confirm with a code) against WESTCA's client records. If you ask for a plan in the app, the name, e-mail, phone, goals and message you enter go to WESTCA's customer system so a coach can contact you.

03who sees it

Members see what you share with them. The WESTCA team sees your account details and your session schedule. Messages are private: the team only reads a message when it has been reported. The data lives on servers operated for WESTCA.

04notifications

Reminders and messages can reach you by push notification and by e-mail. You can turn each one off in Settings and in each conversation.

05deleting your data

You can delete your account in Settings. Your profile, check-ins, progress photos, progress reports and personal data are removed; messages you sent to other people remain in their conversations until they are deleted after 90 days. Attendance records may be kept by WESTCA as business records.
